How It Works
Notarisation need not be complicated. Here is a clear explanation of what to expect from your first enquiry through to the return of your completed documents.

Initial Enquiry
The first step is to contact us - by telephone, email, or via the enquiry form on this website. Please describe the nature of the documents you need notarised and, if you know it, the country in which they will be used.
We will respond promptly to advise:
- The type of notarial act required
- What identification you will need to bring
- Whether an Apostille or legalisation will be necessary
- An estimate of the fees involved
- Available appointment times
There is no charge for initial enquiries and no obligation to proceed.

Document Review
Where possible, we ask you to send us copies of your documents before your appointment. This allows us to review them in advance and identify any issues - such as missing information, incorrect form, or requirements specific to the destination country - before you attend the office.
This preparation stage often prevents unnecessary delays and ensures that your appointment runs as efficiently as possible.
Tip: If you are unsure which documents are required, send us everything you have relating to the matter and we will advise. -
Your Appointment
Appointments take place at our office at 109 Buckingham Palace Rd, London SW1W 0SR. The nearest Underground stations are Holborn and Chancery Lane.
At your appointment, the notary will:
- Verify your identity from your original identity documents
- Examine your documents and confirm they are in correct form
- Witness your signature where required
- Administer any oath or declaration
- Execute the notarial act and affix the official seal
Most appointments last between 20 and 45 minutes, depending on the number and complexity of documents.
Please bring: Your valid passport or national identity card, your original documents, and any supporting materials as advised at the enquiry stage. -
Apostille & Legalisation (where required)
If your documents are intended for use in a country that is party to the 1961 Hague Convention, they will require an Apostille certificate issued by the Foreign, Commonwealth & Development Office (FCDO). We manage this submission on your behalf.
For countries outside the Hague Convention, further legalisation through the relevant embassy or consulate may be required. We will advise on the requirements for your specific destination country and manage the full process.
- Standard FCDO Apostille: typically 3–5 working days
- FCDO premium service: same working day (at higher fee)
- Embassy legalisation: timescale varies by country; we will advise

Return of Documents
Once all notarial acts and any required authentication have been completed, your documents are returned to you by tracked delivery. You may also collect from the office by arrangement.
We retain a record of all notarial acts as required by the Notaries Practice Rules. Original documents are returned to you; certified copies are retained in our notarial register.
International delivery: We despatch internationally by tracked courier. Please allow additional time for overseas delivery when planning your deadlines.

What to Expect
Identification Requirements
A valid passport or national identity card is required at all appointments. This is a legal requirement - the notary must verify your identity before executing any notarial act. In some circumstances, a second form of identification may be requested.
Originals vs. Copies
In most cases, the original document must be presented at the appointment. We cannot notarise a photocopy as an original. If you are concerned about relinquishing an original document, please discuss this with us in advance.
Foreign Language Documents
If your documents are in a language other than English, a translation may be required. We are able to advise on reputable certified translators and, where documents are in French or Spanish, James Harrington is able to advise directly.
Urgent Matters
We understand that some notarial matters are time-sensitive. Please advise us of any deadlines when you make your enquiry. We accommodate urgent instructions wherever possible, and same-day appointments can often be arranged.
